Vendor Rules Agreement

Hairitage Day Event Hosted by The Walker Foundation

Event Date: June 29th, 2025

This agreement outlines the rules and expectations for all vendors participating in the Hairitage Day event hosted by The Walker Foundation. By agreeing to participate, vendors acknowledge and agree to the following terms:

1. Arrival & Setup

All vendors must arrive at least 1 hour before the event start time for setup.

Late arrivals may forfeit their reserved space and participation without refund.

Vendors are responsible for bringing their own setup materials (tables, chairs, tents, signage, etc.) unless otherwise arranged with the event coordinator.

2. Vendor Responsibility

Vendors are responsible for supervising their booth and products at all times.

Vendors must keep their area clean, organized, and free of hazards.

Vendors must comply with all local regulations and health/safety codes, including any licenses or permits required for sales or services.

3. Lost or Stolen Items

The Walker Foundation is not responsible for any lost, stolen, or damaged items.
Vendors are encouraged to take all necessary precautions to secure their belongings throughout the event.

4. Prohibited Items & Conduct

Hairitage Day is a child-only, family-focused event. As such, the following are strictly prohibited:

Items or services that are inappropriate for children or families (e.g., adult-themed content, profanity, or suggestive imagery)

Display or sale of weapons, fireworks, tobacco, or alcohol-related products

Loud or explicit music

Offensive language or behavior

Pets or animals (unless pre-approved as part of a child-friendly exhibit or service)

Vendors violating these terms will be asked to leave immediately with no refund and may be banned from future events.

5. Conduct and Behavior

Vendors must conduct themselves professionally and respectfully at all times.

Offensive language, discrimination, or aggressive behavior toward attendees, staff, or other vendors will not be tolerated and may result in immediate removal from the event.

6. Booth Breakdown

Vendors may only begin breakdown at the scheduled end of the event unless otherwise directed by event staff.

All vendor areas must be cleaned and cleared upon departure.

7. Media and Promotion

By participating in the event, vendors grant The Walker Foundation the right to use any photos or videos taken of their booth or staff for promotional purposes, unless otherwise requested in writing.

8. Cancellations

Vendors must notify The Walker Foundation at least 72 hours in advance of cancellation.

No-shows or late cancellations may impact eligibility for future events.

9. Acknowledgement

By participating in the Hairitage Day event, you acknowledge that you have read, understood, and agree to the terms outlined in this Vendor Rules Agreement.
